This guide describes mass actions - the full workflow for applying bulk operations to contacts, including filtering logic, result verification, and action execution. Each step has been written to support accurate handling of high-volume contact data. You can either watch the video tutorial (click here) or follow the written instructions below.
1. Accessing the mass actions menu
The mass actions menu is the entry point for all bulk operations.
Open the contacts workspace.
At the top of the table, select mass actions.
A contextual menu opens with the available bulk operations:
add to list with filters
delete with filters
anonymize with filters
export with filters
update with filters
update subscription with filters
send composition with filters
add to journey step with filters
add to organization with filters
Select the operation you intend to perform. The system will then open a guided workflow.
2. Configuring filters
The first step in every mass action uses conditional filtering. Only contacts that match these rules will be included.
In the apply filters step, open filter group 1.
Select a category. Categories include contact attributes, interactions, list memberships, subscription states, and other data dimensions.
Select the field within the chosen category.
Define the condition and the corresponding value.
Use the red plus icon to add additional conditions within the same filter group.
After configuring all rules, proceed to the next step. The system does not apply any action until the final confirmation.
3. Validating filtered contacts
The preview results step provides a controlled review stage.
Review the displayed count of filtered contacts.
Compare the expected volume with your filtering rules to ensure accuracy.
If the number of contacts appears incorrect or incomplete, select edit filters to refine the criteria.
This preview acts as the last checkpoint before applying irreversible or sensitive actions. Proceed only after confirming that the dataset is correct.
4. Completing the action
The final phase depends on the selected mass operation. Each action presents a dedicated interface with required parameters. Below are the most common scenarios.
adding contacts to a list/organization/journey step - select an existing list or create a new list and name it.
updating subscription status - specify the subscription channel and the intended action (subscribe or unsubscribe)
updating contact fields - select the field to be modified, enter the new value, confirm the update
send composition - select the composition, identity , confirm the update
exporting filtered contacts - confirm the export request
deleting or anonymizing contacts - these actions are irreversible, please verify the contact count
5. Workflow completion
After confirming the final step, the system executes the operation. Execution time depends on the size of the filtered dataset and the action.
